Cancellation Policy

This policy applies to all virtual nutrition services provided through Zoom for Healthcare.

Virtual Appointment Requirements

All sessions are conducted virtually using Zoom for Healthcare in accordance with the Nova Scotia Personal Health Information Act (PHIA) and the standards of the Nova Scotia College of Dietitians and Nutritionists (NSRD) to help protect privacy and confidentiality.

Clients are responsible for ensuring they have:

  • a stable internet connection

  • access to the Zoom for Healthcare link provided

  • a private and confidential space for their appointment

Rescheduling Your Appointment

You may reschedule your appointment at any time up to 24 hours before your scheduled session using the secure booking link provided in your confirmation email. This allows your appointment time to be made available to other clients. Please use the link in the confirmation email you received on the day you made your booking to cancel.

Cancellations 

More than 24 hours’ notice

Cancellations made more than 24 hours in advance will not be charged. If payment has already been collected, a refund will be issued, minus a service fee, or the amount may be applied as credit toward a future session. Clients will be given the choice between a refund or a credit. If a credit is issued, it does not expire and may be used at any time while the business remains in operation.

Within 24 hours Notice

Cancellations, or reschedules, made within 24 hours of your scheduled appointment time will be charged 100% of the session fee. This is because the time has been specifically reserved for you and cannot typically be filled on short notice. Exceptions may be made if cancellation is out of client control and is discussed with Acacia upon cancellation.

No-shows

If you do not attend your scheduled appointment and have not provided notice, the full session fee will be charged.

Late arrival

If you are running behind schedule a quick call or email is appreciated so that I’m aware and can plan accordingly. The session may still need to end at the originally scheduled time in order to respect subsequent bookings. In this case the full session fee remains applicable. If there is no subsequent booking I may be able to accommodate adjusting the meeting time to include the full 50 minutes. This will be discussed with the client upon joining the appointment.

Exceptions

I understand that unexpected circumstances (such as illness or emergencies) can arise. Where appropriate, exceptions to this policy may be considered on a case-by-case basis at my discretion.
